All Exhibition Guidelines sent to you will show the Submission Date, Opening Reception and Collection Date. Please print these off so you can re-read as your exhibition nears.
Can I drop off my hand in form to the Gallery?

How do I label my work?
We need labels and codes for each piece as it is necessary for us to track the sales. The code is identified in your exhibition guidelines but is usually the Exhibition title, for example GLASS was GS. The code is followed by your initials and then consecutive numbers> For example GS-NS01, GS-NS02, GS-NS03…
Do I have to put a label on each piece of work?

All ready to hang, please. All 2D work must be ready to hang using the WOA hanging system (STAS Cliprail Pro). You can find videos on You Tube, please familiarise yourself with the system, or why not pop into the gallery and take a look. Please also see below some helpful images of our hanging system.

Luggage Labels
If your work is to be hung on the wall, it helps us associate it with the numbered catalogue entries if you additionally add, using string, a ‘luggage’ label with the information above that can be seen when the work is hanging on the wall. We will remove the label once the catalogue has been created. Other items to be hung on the wall should have a suitable hanging method and be labelled as outlined above.
What about if I have prints to put in the browsers?
Browser work must be suitably presented in a protective covering and clearly labelled.
I have some greeting cards to sell? Can I bring them?
Cards must be in cellos with labels detailing at least the code and price and preferably the artists name (if not printed on the card). Cards can all share a single code.
I am selling a ceramic light with a plug, is this ok?
All electrical items for sale must either have a valid PAT test sticker/label or have the original sales receipt which must be less than 6 months old.
All other work must be appropriately and securely labelled and presented attractively with protective wrapping / boxes as appropriate.
I’m on social media, can you tag me?
Yes! WOA produce a printed poster and opening reception invite card, these will be available at the gallery. We can provide you with a Jpeg or PDF for your own.
Your own advertising is very important - this cannot be stressed enough. We will promote the show through our own mailing lists of members and friends; PR and media contacts; and social media channels. You need to do the same.
Please provide us with all of your social media links so that we can cross-promote the show through our channels. This we will do before and during the exhibition.

When is the opening reception?
It is usually the first day of the exhibition. We organise it and provide wine, soft drinks and nibbles. We really need help with organising the food element so please let us know if you can get involved and facilitate this. While WOA will promotes the reception, you are strongly encouraged to advertise this event and to attend.
Do I need to sit in the gallery at the weekend?
We are always needing volunteers to sit in the gallery. The slots on the weekend are Saturday 11.30-2pm, 2pm – 4.30pm and Sunday 2-4pm. Please consider doing one of these slots and let our Rota Manager know: [email protected]
Do I have to get my work insured?
Exhibitors’ work is NOT covered for damage or theft by WOA’s insurance. All exhibitors are therefore advised to arrange their own insurance. In signing this Agreement, you acknowledge this and accept full responsibility for your work while it is in the WOA gallery. Thefts are rare at WOA but they do sadly happen on occasion. When they do, we’re sorry but we are unable to reimburse you for the loss. This is why we strongly encourage you to insure your work when it is on WOA’s premises.
