Due to Covid-19 the safety of our volunteers and staff is paramount.
Please ensure you read these Guidelines carefully.
It is extremely important that your work is labelled up correctly according to the instructions below. Failure to comply will mean that your work will be refused and no refunds will be given.
Conditions for Entry
All paid-up members of WOA are able to exhibit.
Entry Form
Your Entry Form will only be accepted electronically by email to [email protected]
Please submit your Entry Form and Payment no later than 30th September 2020.
Paper copies of your Entry Form will no longer be accepted.
Cash payments for your Entry Fee will no longer be accepted.
Please email [email protected] to register and an Entry Form will be sent to you.
All information will be used to create the labels for the walls and produce a master document to check off work at drop-off. Please take care to enter what you wish to see in print! Note that you can create extra lines in the table using the TAB key.
Submitting and labelling your work
Frames and labelling: 2D work in any medium, good quality prints and photographs may be entered for hanging. It has to be in good condition, undamaged framed with clean glass, Canvas blocks are acceptable. WOA reserves the right to reject any item not well presented. The backing must be sealed to the frame with brown artist’s tape with suitable hooks and cord. All work both framed and unframed needs to be entered on the Entry Form.
To help us record sales, please label each submitted item of work with a code made up of:
● The specific code for the exhibition is
● CCW, followed by…
● Your initials, followed by...
● Consecutive numbers
For example, CCW-NS01, CCW-NS02, CCW-NS03…
Please label each piece of work with:
● Artist’s name
● Title of the work
● Price
● Exhibition code (see above)
All 2D work must be ready to hang using the WOA hanging system (STAS Cliprail Pro). Exhibitors are recommended to familiarise themselves with the system via Google/You Tube. We recommend using D-rings and string/wire positioned roughly 2/3rds of the way up the item. Hanging cord should be tied as tightly as possible. When the picture is suspended at the centre of the cord, the cord must not show above the picture.
If your work is to be hung on the wall, please additionally attach using string, a ‘luggage’ label with all the information above that can be seen when the work is hanging on the wall. We will remove your label once associated administrative tasks have been completed and produce wall labels for consistency.
Other items to be hung on the wall should have a suitable hanging method and be labelled as outlined above.
Browser work must be suitably presented in a protective covering and clearly labelled as above (luggage label not required).
Cards must be in cellos with labels detailing at least the code and price and preferably the artist’s name (if not printed on the card). Cards can all share a single code.
Electrical items for sale must either have a valid PAT test sticker/label or have the original sales receipt which must be less than 6 months old.
All other work must be appropriately and securely labelled and presented attractively with protective wrapping/boxes as appropriate.

Fees
● 2D/wall work
● £10 for 1 piece of work
● £15 for 2 pieces of work
● Due to space we are unable to accept more than 2 items
● Max size of each piece 75x75cm. Other sizes are at the discretion of the hanging committee.
● 3D work
● £15 for 75cm x 75cm space on a plinth or table (approx.)
Members can submit both 2D and 3D work with both fees being applicable.
Submission fees are non-refundable and need to be paid in full in advance of when the work is handed in.
The entry fee covers 3 items for the Browser and up to 20 cards. This applies to both 2D and 3D artists.

BACS: If you would like to pay the entry fee by BACS, please use your name, prefixed with the exhibition code (see above) as the reference, using the details below:

Commission
For member shows, the commission fee is 30% irrespective of the volume of sales.
Important Information
● This is a selling exhibition and all items have to be for sale and collected by the buyer when sold.
● Sold items have to be replaced or the space will be used by another artist (no extra charge will apply). Names will be picked at random.
● Work can be changed during the exhibition keeping in mind that it has still to fit in with the rest of the exhibition.
● As Xmas approaches members are invited to substitute (or add depending on space available) Xmassy things/gifts/work….
● No refund will be given if the exhibition has to close due to Covid-19 but it will be carried over in the following month or postponed.
Insurance
Exhibitors’ work is NOT covered by WOA’s insurance. All exhibitors are therefore advised to arrange their own insurance. In signing this Agreement, you acknowledge this and accept full responsibility for your work while it is in the WOA gallery.
Thefts are rare at WOA but they do sadly happen on occasion. When they do, we’re sorry but we are unable to reimburse you for the loss. This is why we strongly encourage you to insure your work when it is on WOA’s premises.
Selection of Work
We hope to display all pieces of submitted work, space permitting, but selection is at the discretion of the exhibition sub-committee.
General
● Each work must have its own individual title and all works, both framed and browser must be listed on the entry form.
● NO substitution or change of title or price can be made after submission of the entry form.
● All unsold artwork must be collected at the end of the show. Date and time TBA and likely to be by appointment. If you are unable to collect at the times stated (not before, please) find somebody who can collect on your behalf and inform organisers at time of handing in work.
